Why have a Coordinator at your Wedding?

I have been asked this question so many times and figured why not give a little explanation and reasoning why. Being in a small town or being a big time “Do It Yourself” person myself, I have learned that it is so easy to think your wedding does not need a coordinator or there would just be no reasoning behind it budget wise. So many people often categorize weddings with a Coordinator “fancy” or “over-the-top”. Trust me, I am here to tell you when it comes to weddings, your day is no less spectacular than the couple’s 3 cities over, no matter the budget, venue, or vision. Each wedding is special and deserves to be as stress free and memorable as they can be for the couple. Once you start talking stress free, your key to this is a COORDINATOR!



So, what is a Coordinator?

They are basically the right-hand friend that will walk you through planning and then there during the day of your wedding to greet the vendors, conduct your rehearsal, make sure your ceremony runs smoothly, and so much more during the reception.


Why have a Coordinator?

1. A Coordinator will do the overthinking!

While planning a wedding can be so much fun, filled with cake tastings, color pallets, looking at venues, and so much more. The coordinator usually handles taking care of the major and minor details, you may not think of. A few of these items could include looking over vendor contracts, asking logistical vendor questions, and helping create lists of all different aspects of the wedding, such as what florals you may need, number of song selections, and timelines.

2. Helping Stretch Your Budget

When someone who has been around the block a few times in the wedding industry hears your vision, it is so convenient to have them in your back pocket when working with a budget! Having a coordinator who understands your vision and your budget can help guide you towards different options to help your vision come to life, all while bringing budget friendly ideas to play. An experienced coordinator has preferred vendors of all budgets who they have worked with in the past. If you are someone who are still looking for other vendors, this coordinator would be able to also guide you in the proper direction!

3. The Wedding Knowledge

How many times in planning so far have you searched on google “How does this happen at the wedding?” or “things I need to remember when planning”? Well as a coordinator myself, I often introduce myself to my couples as their personal Wedding Google! As cheesy as this may sound, let's face it, chances are this may be your very first wedding your planning and you have no idea where to start or maybe how to start but no clue on the middle part of planning. That is where a coordinator comes in to answer those questions and give you the tools of charts and checklists to plan the big day.

4. Quality Control

An experienced coordinator is going to bring quality control to the table. Chances are they could write a book on their experience and a few what works and does not work at a wedding when it comes to décor, food, bridal parties, etc. (Trust me I could write a novel 😊) The last thing you want is having to worry about running out of alcohol or concerned with the logistics of décor.

5. Stress free and UNFILTERED!!

The last and my favorite is going to be the 2 qualities that myself and most other coordinators will also provide. First off, everyone’s goal is for your day to be memorable and stress free. Having a coordinator is like hiring a buffer between you and the outside world the day of. Yes, this may sound cheesy again, but it is so true! One of my most popular lines I tell my clients is - I will handle any situation thrown at me the day of until it is beyond me, then I take it to someone else, but NOT to the couple. The couple should be focused on one thing, getting married! While the coordinator handles the worrying and tying up the loose ends the day of, they also handle those moments of “tell me how you really feel” with the family. Yes, we all know what I’m talking about. I personally have found myself as a coordinator in this situation so many times, and let’s just say the best way to handle it is to make them feel involved without being involved. There is always a tactful way no matter the situation!


No matter what your wedding vision may look like or even the budget you are working with, you and your fiancé deserve to have a stress free and enjoyable Wedding Day.
